Aventi is an established IT consulting firm and JaMP is their contract management tool. It provides the ability to generate contracts based on templates. It stores contract data and information in the cloud. I joined the effort to build a report dashboard for client managers to check differences between agreed services and the actual provided services.
* This is a real project that was successfully shipped in April 2021. In this case study, a fictitious company name is used and images are blurred due to confidentiality.
Problem
Aventi JaMP Portal as it existed offered no data overview for contract discrepancies and users had to download the excel report from the portal for data and information.

With the project manager, we were able to interview 3 client managers to get insights into their experience with the existing report portal and their expectations for the new dashboard.

01. Contract List
Current design of the contract list is cramped. I simplified the list to leave space for data visuals.
02. Total discrepancies
An overview of discrepancies of all existing contracts. I identified 4 types of discprencies in the user interviews: price missing in the invoice, price missing in the contract, diffenrect prices in invoice and contract, identical.
I also visualized a year of data points with a line chart for better performance management.
03. Components overview
Each contract is composed of a number of components. It’s important to dive deep into each component and report on its discrepancies.
In this list, I added the price details of both in the invoice and in the contract. Any price discrepancies will be flagged in the report.

Aventi has an established design system. I followed the guidelines of the design system when creating the hi-fidelity mockups.

Prioritization
& Development
With time and technical constraints in consideration, it was critical for design and development to come together and prioritize the features.
We have decided to leave the yearly and weekly chart implementation out for the MVP.
Testing
& Iterations
I conducted a round of usability testings with client managers. By monitoring participants to complete tasks based on different scenarios, I wanted to find out:

User was unable to quickly filter the report.
After
By adding a legend that can filter the report by discrepancy type, users can now get a quick report of different types of discrepancies.
With the new dashboard design, client managers can now track and manage key performance data much easier and more efficiently.
I leanred a great deal from this project about adapting priorities to various constraints, and aligning UX design to direct business goals.
If given more time, I would want to use metrics like Tableau or Looker to track the usage rate of the dashboard to measure success.
